Requests for Information

To request information about Integrity or submit an enquiry via our ‘Contact Us’ form, you will be asked to submit personal information about yourself (name, e-mail address etc). This contact information is used within Integrity only and is never given or sold to a third party with your explicit consent. Your information is held in our systems while we deal with your request and will be removed in the event that your request is dealt with and/or no further engagement is required.

 

Where your Information is stored and processed

Your information is stored in secure systems that comply with UK and EU legislation such as the UK Data Protection Act and the General Data Protection Regulation (GDPR).

The Personal Data Integrity collects

Personal Information Forms (PIFs – submitted via webform)

For Integrity contracted personnel:

The information you provide is being collected for the purpose of managing your employment or consultancy with Integrity Research and Consultancy Ltd (Integrity) and enabling Integrity to provide appropriate Duty of Care in the event of an emergency. By completing and submitting the information contained in this form, you are required to give your consent for Integrity to retain the information you have provided in a confidential manner in our database and in accordance with privacy laws until the end of your contract with Integrity.

Sharing

PIFs are accessible to a limited membership group on a ‘need to know’ basis with direct responsibility for Duty of Care, human resource and programme management provision. Your personal, medical and security information may be distributed to relevant third parties in the event of an emergency and if, in the sole discretion of Integrity, it is determined to be necessary to safeguard your welfare. In addition, third parties may be provided with aggregate statistical data based on the information you provide. This will not include information that can be used to identify you. No other information will be submitted to third-parties at any time without your explicit consent, unless Integrity are required to do so by law.

Security

Our system takes every precaution to protect Personal Data. When PIFs are submitted via our webform, information is encrypted in transmission and at rest.  In addition to online security, Integrity has policies and procedures in place to minimise risks around physical information (e.g. hardcopies) and restricts access to data through document classification, a clear desk policy and lock and key.

Retention

PIFs are permanently deleted when the information is no longer required for Integrity to provide Duty of Care for the individual (one month after the end of the contractual engagement between the PIF data subject and Integrity) unless an emergency response is active in which PIF data is still required. In that case, PIF data is deleted within one month of Integrity’s closedown of an emergency as designated by Director Operations.

Consultant Registration (submitted via webform)

For individuals invited to register their details as a Consultant in Integrity’s consultant database:

The information you provide is being collected to help us manage your engagement with Integrity Research and Consultancy Ltd (Integrity) and to identify opportunities for you to work with us. By completing and submitting the information contained in this form, you hereby consent to processing and retaining the information you have provided in a confidential manner and in our database in accordance with privacy laws and this Privacy Policy.

In addition, for some project roles we may need to share information submitted to our partners and clients for the teaming process. Additional third parties may be provided with aggregate statistical data based on the information you provide; however, this will not include information that can be used to identify you.

Consultant’s data will be retained in Integrity’s IT System and updated for legitimate business interests. You can request for your data to be removed at any point by completing this webform. You will then receive confirmation of the deletion of your Personal Data from our records within one month of action being taken.

 

Recruitment Applications (submission webform)

For prospective Integrity job/consultancy candidates:

The information you provide is being collected to help manage your engagement with Integrity Research and Consultancy Ltd (Integrity). By completing and submitting the information contained in this webform, Integrity processing the information you have provided in a confidential manner and in our database in accordance with privacy laws.

Integrity is the sole owner of the information collected via our recruitment system.  We will not sell, share, or rent this information to other third parties, however for some project roles we may need to share information submitted to our partners and clients for the teaming process.  Integrity collects information from Candidates via our webform application.  This includes contact details which are required to contact you at necessary times during the recruitment process.

No other information will be submitted to third-parties at any time without your explicit consent unless Integrity are required to do so by law.

Candidate’s data will be kept in Integrity’s IT systems and managed with restricted access. After 24 months, it will be permanently deleted from our records. You can request for your data to be removed at any point by completing this webform. You will then receive confirmation of the deletion of your Personal Data from our records within one month of action being taken.

 

International Transfers of Information

Because of the international nature of our business, we may need to transfer your Personal Data within the Integrity Research and Consultancy group of companies, and to third parties, in connection with the purposes set out in this Policy. For this reason, we may transfer your Information to other countries that may have different laws and data protection compliance requirements to those that apply in the country in which you are located.

Where we transfer your Personal Information from the EEA to recipients located outside the EEA who are not in a jurisdiction that has been formally designated by the European Commission as providing an adequate level of protection for Personal Information, we will put in place appropriate safeguards to ensure that your Personal Information is properly protected and processed only in accordance with this Privacy Policy.

 

Right to Data Portability, Rectification and be Forgotten

Notification of Changes

If we decide to change our Privacy Policy, we will post those changes on our Homepage, so our users are always aware of what information we collect, how we use it, and under circumstances, if any, we disclose it.  If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we will notify users by email.  Users will have a choice as to whether we use their information in this alternative manner.
